Identify what triggers each fee
A surcharge adds a charge under a specific rule. The trigger might be an address classification, postal code, package dimension, weight, packaging type, shipment lane, or shipping date. The same package can meet more than one condition.
Group invoice fees by their trigger before deciding what to change. Address quality, packaging, routing, and agreement terms each solve different problems.
Fuel needs its own calculation
A fuel surcharge commonly uses a percentage applied to eligible charges. The carrier determines the percentage, update schedule, and the components included in the calculation. Fuel on eligible surcharges can make the total larger than a percentage of transportation alone.
Use the official table for the shipment period and the correct service or direction. A domestic ground table does not establish the fuel percentage for international air shipments. Keep historical periods when reconciling older invoices.
Peak rules can change during a season
Demand and peak charges can have multiple date windows and package categories. An announcement about a season is not necessarily a single fee that applies uniformly throughout it. Check service scope, dates, and qualifying conditions.
Forecast with your likely volume and package mix in each window. Large-package and handling charges deserve separate attention because their effect can differ substantially from an ordinary per-package charge.
Check the contract and the bill
Compare the published rule with your agreement, then compare the resulting expectation with the billed line item. Some fees may be discounted or waived; others may remain unchanged. Document exceptions rather than applying a broad discount to every charge.
Use carrier updates to spot new rules, and keep the official source as the authority for eligibility. An update summary helps you identify what to review; it does not replace the service guide or a negotiated agreement.
